Customising Settings

To edit company settings, click the ‘Settings’ menu icon in TimeCloud365

Customising Overall Branding

Default Branding

To set your platform’s default branding:

  • Name,
  • Logo,

click on the edit button next to Company Branding. This name & logo will show inside of the admin portal of the platform, and as a default for invoices & storefronts.

Brand Aliases

To add specific branding for other aliases of your company, you can do this in the My Storefronts section.

Enterprise customers have options to customise the internal branding colours of their platform here

Company File Manager

The company file manager is where you can store all files relative to your company.

Folders

  • Job Attachments
    This folder is for files that are frequently attached to jobs for customers

  • Job Employee Attachments
    This folder is for files that are frequently attached to jobs for customers

  • Custom Folders
    To add a new folder, you can right-click and select ‘New Folder’, or use the new folder button

Files

To upload files, you can drag-and-drop, or use the ‘Upload File’ button

Updating Files

To rename or download a file, right-click or tap a file to see the menu

Deleting Files

To delete files, you can drag-and-drop the file to the bin, or right-click a file & select ‘Delete’

Employee-Specific File Manager

Each employee has their own file manager that can be accessed by vising their employee profile

Offices

Offices are your company’s places of work.  

Enterprise customers can use offices to separate their different branches for GDPR to keep separate administration of different locations 

Onboarding Questionnaires

Onboarding questionnaires are a way to send a questionnaire to your staff to elevate the knowledge of your workforce. They are quick, easy, and fun for your staff to complete when they log-in.

How It Works

Onboarding questionnaires show multiple-choice questions from a pool of questions that you create. You can create multiple question-pools, for different questionnaires.

Question Pools

To add, edit, and delete question-pools, click the ‘Question Pools’ button

Add a question pool by clicking ‘Add Question Pool’

To see & add questions to a question pool, you can click the add & expand buttons on the right

You can add as many questions as you like, and as many correct or incorrect answers as you like

To show corrective & explanatory text for correct or incorrect answers, click the ‘Edit’ pencil icon on a specific question. This will show when a staff-member answers a correct or incorrect question 

Creating a Questionnaire from your Question Pool

Now that you have at least one question-pool, go back to ‘Onboarding Questionnaires’ and now select ‘Create Questionnaire’

Here you can select your question-pool in the ‘Question Pool’ dropdown, and select the amount of questions from the pool that you want to show. You can also add a  declaration checkbox to the onboarding questionnaire that is required before staff-members submit the questionnaire.

If you choose to have too many questions, don’t worry, the system will tell you the maximum amount of questions that can be shown

Distributing Your Onboarding Questionnaire

Now that you have created your questionnaire, if you navigate to ‘Admins’ or ‘Workforce’ and edit one of your staff-members, you will have the option to select your new questionnaire

Next time your staff-member signs in, their tasks section will flash, showing that they have a notification to complete the quiz you requested 

SMS Settings

SMS can be sent from the system from the jobs page when editing a job. SMS can be sent to customers, or your workforce.

SMS Credits

SMS credits can be purchased from the SMS settings page

1 x SMS Credit = 160 characters of text

Low Text Credits

The system will automatically email you when your text credits drop below 100 & below 10.

Enterprise customers get 2000 SMS credits as standard to use each month. Overflow credits can be purchased as described above

Why is there a charge for text credits

We use a trusted & reputable third-party provider to send texts from our system. For GDPR, no unnecessary information is shared with our Text-Provider, only the phone number & text-content. Happy texting!

SMS templates can be created in the ‘SMS Templates’ section

  • Booking confirmations
  • Booking reminders
  • Booking upsells

Email Settings

There are many automatic emails that can be sent from the system in the ‘Company Settings’ page.

Billing

To see your current plan, update your payment card, or check which card is connected to TimeCloud365: visit the Billing section of the Company Settings

Here you will see your current plan, and other plan options you can switch to.

Usage Invoices

If you are on a flexi-plan, there is a per-user charge that is invoiced for at the end of your payment month. Invoices are paid automatically via the system if you set-up a payment card. Otherwise, to pay manually, select the ‘Pay’ option beside an outstanding invoice. Feel free to contact us to learn more about billing.
